What the letter must achieve
A strong letter explains why this program is a logical next step. It should add context rather than repeat the CV.
Plan before writing
Study the curriculum, identify relevant experiences and map each claim to evidence. Note the institution’s prompt and word limit.
Opening
Answer the central motivation directly. Avoid quotations, childhood clichés and generic praise that could be sent to any university.
Academic motivation
Select relevant modules, projects or problems that shaped your interest. Explain what you learned rather than listing grades.

Connect specific curriculum elements to the capabilities you need. Do not copy marketing text or claim knowledge you do not have.

Control the final submission
Do not wait for the deadline day. Portals can require account verification, payment or referee action before an application becomes complete. Upload files in the requested format, open each uploaded document to confirm readability and save the submission receipt. Check whether official results or references must arrive through a separate channel. After submission, monitor the email address and portal used in the application, respond through official channels and keep a record of any additional-document request.
Turn every requirement into a task
Copy each official requirement into a tracker and convert it into an action, owner, source and due date. “Transcript required” should become a specific task covering the issuing institution, accepted format, translation or certification rule and delivery method. Keep a separate row for every program because similar requirements are not necessarily identical. Mark assumptions clearly and replace them with written confirmation. This approach reduces last-minute surprises and creates an audit trail if a portal, referee or adviser asks what has already been completed.
Maintain one accurate master record
Create a master timeline of education, employment, addresses and major activities using the dates shown on official evidence. Use it when completing forms, CVs and statements so information remains consistent. If documents use different spellings or a genuine gap exists, follow the institution’s process for explaining it rather than hiding or editing the record. Store originals safely, use read-only master scans and create submission copies in clearly named folders. Accuracy is more persuasive than an application that tries to appear perfect.
